Overview
The Inter-Agency Coordination Assistant will provide secretarial and logistical support to the Inter-Agency unit and sector working groups, and liaise with partners to ensure efficient information flow and coordination within UNHCR Poland.
Key Responsibilities
- Provide secretarial support including drafting and reviewing meeting minutes, updating recipient lists, preparing meeting materials, and organizing logistics.
- Organize and provide transportation and translation support.
- Disseminate relevant information to an external audience.
- Liaise with partners and information management colleagues.
- Support sector coordinators in reviewing and extracting partner reporting.
- Collect and disseminate weekly schedules and work plans.
- Organize and maintain the IA calendar and other coordination tools.
- Support outreach to partners on financial tracking.
- Follow up with field offices on weekly distribution schedules.
- Attend IA meetings and/or specific working groups, including minute taking.
- Map funding opportunities for NGOs and share updated information.
- Draft reports for supervisor clearance.
- Organize and support coordination meetings.
- Gather information from UNHCR, partners, and media.
- Support in gathering and drafting content for social media.
- Perform other related tasks assigned by the supervisor.
Required Experience
- At least 1 year of professional work experience at the national level in supporting coordination.
- Experience with the UN or other international organizations is an asset.
- Knowledge of the Refugee Coordination Model and information management is desirable.
- Degree in a relevant area, e.g. social sciences, information management is desirable.
Qualifications
• Secondary education.
