Overview

Assists in the preparation of budget proposals, expenditure reports, and financial backstopping of trust funds. Supports the financial management of projects and ensures timely payments to vendors.


Key Responsibilities
  • Assists in the preparation of supporting documents for cost estimates and budget proposals.
  • Supports extraction and preliminary analysis of expenditure reports.
  • Assists in the development of resource requirements for budget submissions.
  • Researches and compiles data for budget reviews.
  • Assists in the preparation of budget performance reports and analysis of variances.
  • Assists in the issuance of allotments and reconciliation of consumable budgets.
  • Prepares and reviews pre-commitments and commitments in UMOJA.
  • Assists in financial backstopping of trust funds and monitoring voluntary contributions.
  • Reviews draft reports for accuracy, consistency, and compliance.
  • Tracks invoices to ensure timely payments to vendors.
  • Assists in grant management actions, donor reporting, and project closure/revision.
  • Processes payments to Implementing Partners and their expenditure reports.
  • Maintains a tracking tool for legal agreements and ensures timely clearance of advances.
  • Notifies payees of payment status and follows up on rejected payments.
  • Assists staff, Fund Management Officers, and donors with payment and deposit queries.
  • Keeps up-to-date on relevant financial and budget guidelines.
  • Drafts routine correspondence related to financial and budget matters.
  • Maintains and archives files and documentation.
  • Provides administrative, budget, and finance tasks as required.
  • Assists with data collection, analysis, and preparation of presentations and reports.
  • Assists with visualizations and updating information material.
Required Experience
  • A minimum of five (5) years' experience in finance, budget, accounting, administrative services or related area is required. The minimum years of relevant experience is reduced to three (3) years for candidates who possess a first-level university degree or higher.
  • Experience in working with Microsoft Word and Excel is desirable.
  • Experience working with Enterprise Resource Platform (ERP) systems such as Systems Applications and Products (SAP) specifically on Grants, Funds Management Modules, Implementing Partnership (Grantor) Module, and Business Intelligence Reporting Tool is desirable.
  • One (1) year or more of experience in data analytics or related area is desirable.
Qualifications
  • Completion of High school diploma or equivalent is required.
  • A technical or vocational certificate in accounting and finance such as CPA, ACCA, CA or equivalent is required.
