Overview

The Protocol Associate supports the implementation and management of protocol strategies, ensuring compliance with UNDP standards, effective stakeholder engagement, and operational coordination within the Fiji Multi Country Office.


Key Responsibilities
  • Manage UNDP-related work permits, exemptions, and visa processing.
  • Provide advisory support on protocol matters.
  • Draft proposals, briefing notes, and reports on protocol arrangements.
  • Ensure compliance with UNDP POPP and SOP.
  • Provide guidance to staff on protocol standards and administrative procedures.
  • Liaise with the Ministry of Foreign Affairs.
  • Coordinate with internal and external stakeholders.
  • Provide logistical and administrative support for protocol-related events.
  • Establish and maintain filing and archiving systems.
  • Facilitate obtaining duty exemptions and clearance of UN consignments.
  • Track progress of protocol activities.
  • Support data collection, analysis, and reporting.
  • Organize training sessions and workshops.
Required Experience
  • A minimum of 7 years of progressively responsible administrative or project experience (with high school diploma).
  • A minimum of 4 years of progressively responsible administrative or project experience (with bachelor’s degree).
  • Experience in the use of computers, office software packages (MS Word, Excel, etc.) and web-based management systems.
  • Advanced knowledge of spreadsheet and database packages.
  • Work experience in the area of protocol, UN Executives Offices or event management in a multilateral setting is desired.
  • Experience in interpretation of host country agreements, immigration policies and international protocol standards is desired.
  • Experience in resolving protocol-related issues diplomatically is desired.
  • Demonstrated understanding of cultural norms and practices across Pacific Island nations is desired.
  • Proven ability to handle sensitive information with integrity is desired.
  • Proven ability to build and maintain effective working relationships with government officials, diplomatic missions, and international organizations is desired.
  • Experience in precedence, titles and forms of address, flag etiquette and international protocols is desired.
  • Experience in drafting diplomatic notes is desired.
  • Familiarity and experience with Fiji’s Ministry of Foreign Affairs and Immigration Department is desired.
Qualifications
  • Secondary education is required.
  • University Degree (Bachelor’s degree) in Business Administration, Public Administration, or equivalent field will be given due consideration.
