Overview
The Finance and Administrative Assistant will support the administrative and financial matters for project activities under the project timeframe, serving as a focal point for coordination of joint activities implementation and administrative support.
Key Responsibilities
- Serve as a focal point for the coordination of joint activities implementation and administrative-support activities.
- Provide general office assistance and handle administrative tasks.
- Support the gathering of inputs from member agencies on financial reports.
- Review, verify, and analyse financial data.
- Prepare background information, working papers, and tables for briefing and review sessions.
- Clear outgoing documents to ensure conformity with established procedures.
- Assist in compiling, summarizing, and entering data on programme delivery.
- Develop, maintain, and update relevant programme and technical cooperation information systems and databases.
- Liaise with concerned ministries, ILO constituents, implementing agencies, and social partners.
- Classify and assign budget codes, verify and process payment claims, vouchers, and invoices.
- Prepare payment vouchers.
- Maintain custody of the petty cash account and make payments of approved transactions.
- Perform other duties as assigned by the supervisor.
Required Experience
- At least five years of relevant work experience.
- Similar experience with the United Nations Common System or an international organization is desirable.
- Practical experience on standard office software packages, email, and automated information management systems required by the work unit (e.g., Word, EXCEL, PowerPoint).
- Experience in dealing with confidential matters with discretion.
- Supervisory experience would be an asset.
- Knowledge of the relevant project and programme area and the Office’s operations would be ideal.
Qualifications
Completion of secondary school education.
