Overview

The Finance and Administrative Assistant will support the administrative and financial matters for project activities under the project timeframe, serving as a focal point for coordination of joint activities implementation and administrative support.


Key Responsibilities
  • Serve as a focal point for the coordination of joint activities implementation and administrative-support activities.
  • Provide general office assistance and handle administrative tasks.
  • Support the gathering of inputs from member agencies on financial reports.
  • Review, verify, and analyse financial data.
  • Prepare background information, working papers, and tables for briefing and review sessions.
  • Clear outgoing documents to ensure conformity with established procedures.
  • Assist in compiling, summarizing, and entering data on programme delivery.
  • Develop, maintain, and update relevant programme and technical cooperation information systems and databases.
  • Liaise with concerned ministries, ILO constituents, implementing agencies, and social partners.
  • Classify and assign budget codes, verify and process payment claims, vouchers, and invoices.
  • Prepare payment vouchers.
  • Maintain custody of the petty cash account and make payments of approved transactions.
  • Perform other duties as assigned by the supervisor.
Required Experience
  • At least five years of relevant work experience.
  • Similar experience with the United Nations Common System or an international organization is desirable.
  • Practical experience on standard office software packages, email, and automated information management systems required by the work unit (e.g., Word, EXCEL, PowerPoint).
  • Experience in dealing with confidential matters with discretion.
  • Supervisory experience would be an asset.
  • Knowledge of the relevant project and programme area and the Office’s operations would be ideal.
Qualifications

Completion of secondary school education.
