Overview
The Procurement and Administrative Assistant will support the full procurement and supply chain process by consolidating and verifying requisitions, preparing tenders, obtaining bids, and coordinating purchase approvals and documentation.
Key Responsibilities
- Receive, review, and consolidate procurement requisitions.
- Prepare tender documents, solicit quotations or bids, and conduct comparative evaluations.
- Manage post-approval procurement processes, including preparing purchase orders and contracts.
- Monitor deliveries and coordinate acceptance and delivery confirmation.
- Review vendor invoices and prepare payment requests.
- Maintain procurement records and support report preparation.
- Conduct market research and identify, evaluate, and register new suppliers.
- Track contracts, office supplies, and services, and manage renewals.
- Provide technical guidance on procurement policies and procedures.
- Perform operational and logistical support tasks, including asset management and event support.
- Perform other administrative tasks as required.
Required Experience
- Two years of relevant professional experience with a university degree; or
- Three years of relevant professional experience with a high school diploma.
- Experience in procurement and logistics and working with vendors and service providers.
- Experience with asset management process.
- Experience working in an international organisation is an advantage.
Qualifications
- University degree in Business Administration, Accounting, Logistics, Supply Chain Management or a related field from an accredited academic institution; or
- High school diploma.
- Certification in Procurement, Logistics or Supply Chain Management is an advantage.
