Overview
The intern will support the work of the Resources Management Unit with a focus on learning administrative, coordination, and basic compliance-related processes within IOM.
Key Responsibilities
- Support postal and correspondence processes, including registration of incoming mail and preparation of outgoing correspondence.
- Answer the central phone line, accurately record incoming requests, and forward them to responsible colleagues.
- Monitor the central mailbox, identify relevant messages, and ensure timely and accurate internal communication.
- Support checks related to office management forms, meeting room bookings, seating arrangements, and asset bookings.
- Support filing activities, tracking contracts, and maintaining oversight of documents.
- Support file organization and completeness checks against predefined checklists for procurement documentation workflows.
- Assist with document cross-checks.
- Support internal initiatives such as Coffee Roulette and interact with colleagues.
- Optionally, assist with calendar management.
- Assist with the compilation and organization of supporting documentation for RMO review.
- Support onboarding and offboarding activities.
- Assist with the preparation, tracking, and administrative handling of assets.
- Support other RMU and cross-unit administrative, coordination, or analytical tasks as assigned.
Required Experience
Less than two years of relevant working experience is required. Some experience in an office environment is preferred.
Qualifications
- Enrolled in the final academic year of a first university degree programme (minimum bachelor’s level or equivalent);
- Enrolled in a graduate school programme (second university degree or equivalent, or higher);
- Have graduated with a university degree and, if selected, must commence the internship within one year of graduation.
