Overview

The intern will support the work of the Resources Management Unit with a focus on learning administrative, coordination, and basic compliance-related processes within IOM.


Key Responsibilities
  • Support postal and correspondence processes, including registration of incoming mail and preparation of outgoing correspondence.
  • Answer the central phone line, accurately record incoming requests, and forward them to responsible colleagues.
  • Monitor the central mailbox, identify relevant messages, and ensure timely and accurate internal communication.
  • Support checks related to office management forms, meeting room bookings, seating arrangements, and asset bookings.
  • Support filing activities, tracking contracts, and maintaining oversight of documents.
  • Support file organization and completeness checks against predefined checklists for procurement documentation workflows.
  • Assist with document cross-checks.
  • Support internal initiatives such as Coffee Roulette and interact with colleagues.
  • Optionally, assist with calendar management.
  • Assist with the compilation and organization of supporting documentation for RMO review.
  • Support onboarding and offboarding activities.
  • Assist with the preparation, tracking, and administrative handling of assets.
  • Support other RMU and cross-unit administrative, coordination, or analytical tasks as assigned.
Required Experience

Less than two years of relevant working experience is required. Some experience in an office environment is preferred.

Qualifications
  • Enrolled in the final academic year of a first university degree programme (minimum bachelor’s level or equivalent);
  • Enrolled in a graduate school programme (second university degree or equivalent, or higher);
  • Have graduated with a university degree and, if selected, must commence the internship within one year of graduation.

Remuneration
Interns are granted a small monthly stipend to help offset costs. Interns benefiting from an internship allowance or scholarship granted by their university or other sponsoring body that includes financial remuneration or credits for coursework will not be eligible for the stipend. IOM covers Interns against occupational accidents and illnesses under the Compensation Plan (CP), free of charge, for the duration of the internship.
