Overview
The Staff Assistant (Infrastructure/Logistics) plays a key role in facilitating all aspects of logistical and infrastructure support for the NATO – Ukraine evolving jointness initiative. The role directly contributes to the operational readiness and effectiveness of JATEC by ensuring compliance with NATO standards and maintaining cooperation with stakeholders.
Key Responsibilities
- Supporting logistical arrangements and real-life support services for daily operations, events, and visits.
- Planning and coordinating event specific infrastructure and equipment.
- Maintaining the JATEC equipment pool and warehouse.
- Assisting in the procurement, reception, accounting, storage, distribution, and disposal of NATO-funded items.
- Supporting the accounting and management of fixed assets.
- Creating and maintaining capital item records and recording inventory transactions.
- Supporting hand-over/take-over procedures and physical inventories.
- Examining and inspecting JATEC international property and infrastructure.
- Maintaining communication with vendors, suppliers, and contractors.
- Acting as a liaison between departments for logistics coordination.
- Receiving and responding to malfunction/damage reports and coordinating repairs.
- Coordinating access to JATEC buildings.
- Entering data into the Centralized NATO Automated Financial System (CNAFS).
Required Experience
- Higher Secondary education and intermediate vocational training with 2 years experience, or Secondary education and completed advanced vocational training with 4 years post related experience.
- Experience in logistics, supply chain management, or administrative support within a military, NATO, or international organization environment.
- Proficiency in inventory and asset management systems such as NDSS or similar.
- Minimum 3 years of relevant experience in logistics, supply chain management, asset control, procurement, or operational logistics support, preferably within an international organization, military environment, or government agency.
- Demonstrated proficiency in inventory and asset management, including hands-on use of logistics databases or ERP systems (e.g., NDSS, Oracle, SAP, or similar).
- Familiarity with NATO or public sector logistics regulations.
- Experience supporting logistics for events.
- Understanding of procurement processes, contracting standards, and asset lifecycle management.
- Experience conducting physical inventory, asset tracking, and discrepancy reporting.
- Prior work in a multinational or multicultural team environment.
Qualifications
- Higher Secondary education and intermediate vocational training which might lead to a formal qualification.
- Secondary education and completed advanced vocational training leading to a professional qualification or professional accreditation.
- Professionally accredited qualifications in administration and/or logistics.
