Overview
The Administrative Assistant will be responsible for managing guesthouse operations, including finance, guest services, facility oversight, and coordination of maintenance and supplies.
Key Responsibilities
- Collect guest accommodation fees and service charges, issue receipts, and maintain cashbook.
- Reconcile daily occupancy against payments and follow up on outstanding payments.
- Verify supplier invoices and maintain financial document filing.
- Record utility and fuel consumption, monitor usage, and maintain logs.
- Update guest booking calendar and guest register.
- Allocate rooms, conduct check-in/check-out, and respond to guest inquiries.
- Monitor cleaning of rooms and common areas, ensure availability of supplies.
- Identify and record maintenance issues, coordinate with vendors for repairs.
- Monitor stock levels of consumables, maintain inventory lists, and report low stock.
- Coordinate daily meal arrangements with suppliers and monitor food quality.
Required Experience
Minimum 2 years relevant experience in guesthouse/guesthouse accounting, hospitality or administration.
Qualifications
Completion of secondary education; hospitality or facility management training is an asset.
