Overview
The Warehouse Manager is responsible for overseeing warehouse operations, including infrastructure, systems, commodity management, and safety and security.
Key Responsibilities
- Lead warehouse construction, rehabilitation, and facility upgrades.
- Implement and maintain systems for handling equipment, storage, and safety gear.
- Coordinate with external service providers.
- Conduct periodic store inspections.
- Ensure warehouses are structurally sound, clean, secure, and fit for commodity storage.
- Establish and maintain warehouse layouts, capacity plans, and storage configurations.
- Inspect the quality of incoming commodities and check for damaged/infested items.
- Acknowledge reception of food items in good order and condition.
- Be responsible for counting and recording commodity quantities.
- Cross-check quantities against delivery forms.
- Observe loading and offloading of trucks.
- Conduct proper stacking of commodities.
- Organize incoming and stored items.
- Ensure packing/loading of food commodity for transportation.
- Oversee creation of waybills and packing lists.
- Enter data of items leaving the store on stock cards and weekly reports.
- Conduct field visits to storage locations and advise on best commodity practices.
- Establish Standard Operating Procedures for warehouses.
- Oversee monitoring of stock levels and conduct physical inspections.
- Monitor Best-if-Used-By dates and check for quality problems.
- Manage and confirm daily updates of goods movements.
- Update warehouse operation data into Warehouse management software (TIM).
- Review weekly/monthly reception and distribution reports.
- Ensure warehouses are clean and food stocks are secure.
- Store all stocks according to FIFO principle.
- Ensure pest control is in place and monitored.
- Separate infested stocks from good stock.
- Work with local health authorities on disposal processes.
- Conduct cyclic counts and inventories.
- Plan needs and requisition commodity-related supplies.
- Check security measures and building maintenance issues.
- Implement SCI Warehouse Safety Guideline.
- Report problems to the line manager/security responsible.
- Ensure Security Officers are deployed at Warehouse facility 24/7.
- Make correct entries into commodity ledgers.
- Record all stock movements.
- Assist in maintaining files of relevant documents.
- Compile reports.
- Prepare for expedition of outbound supplies.
- Manage subordinate positions related to Warehouse Management staff.
- Cascade warehouse-related orders from the Senior Warehouse Manager.
- Conduct staff quarterly & annual development for evaluations and reviews.
Required Experience
- 3 – 7 years of professional experience in managing or operating large warehouses.
- Proven experience in all technical areas of logistics operations including warehousing, transport/distribution, stock management and commodity accounting.
- Solid understanding of general commodity management best-practices.
- Previous experience with international NGOs and donors (USDA, USAID, WFP, UNICEF, etc.).
Qualifications
- Bachelor’s Degree in Social Sciences, Economics, Business Administration, Logistics Management or related field.
- Master’s degree preferred.
