Overview
The Procurement Assistant will support the FAO Country Office in Syria with procurement processes, from bidding to delivery of goods, and maintain procurement documentation.
Key Responsibilities
- Assist in preparing quarterly procurement plans for office consumables.
- Use GRMS software for creating Purchase Requisitions.
- Prepare and issue tender documents, Purchase Orders/Contracts, and amendments.
- Dispatch invitations to bid, clarifications, and POs/Contracts to suppliers.
- Respond to supplier queries and issue official clarifications.
- Monitor and follow up on invitations, PO acknowledgements, deliveries, and acknowledgements by consignee.
- Support in filing all procurement documents.
- Maintain and update the procurement monitoring database and make recommendations for payment.
- Serve as focal point for vendor management, including registration, performance rating, and reviewing invitee lists.
- Backstop the Procurement Assistant during absence.
- Perform other related duties assigned by the supervisor.
Required Experience
- A minimum of five years of relevant experience in procurement and administration.
- Working experience with UN Agencies is preferable.
Qualifications
University degree in business administration or equivalent.
