Overview
The Operations Associate will provide support to the Aqaba Projects, ensuring the implementation of operational and financial strategies and adapting processes and procedures.
Key Responsibilities
- Ensure full compliance of procurement, finance, HR and administration activities with UN/UNDP rules, regulations, policies and procedures.
- Provide effective financial management and administrative assistance.
- Support the recruitment of PSA holders and UNVs for the Aqaba Projects.
- Support budget planning, monitor budget lines and funds balance, and prepare modifications.
- Review financial expenditure reports and advise project leads.
- Assist in proper control of supporting documents for payments and financial reports.
- Ensure effective procurement of goods and services, recruitment, and contract management.
- Prepare procurement plans and monitor their implementation.
- Prepare submissions to the Contract, Asset and Procurement Committee (CAP) and Advisory Committee on Procurement (ACP).
- Implement internal control system for purchase orders.
- Process travel for missions, workshops and duty travel.
- Support onboarding of new personnel.
- Act as custodian for management of office stationery supplies and office IT equipment.
- Implement Inventory and physical verification controls.
- Maintain files and records relevant to office maintenance.
- Provide support for maintenance of premises.
- Coordinate and liaise on IT support.
- Coordinate meetings and workshops.
- Develop and maintain administration operations support-related guidelines, checklists, trackers, and other documentation.
- Maintain project files and an effective documents management system.
- Support the implementation and knowledge sharing for projects.
Required Experience
- A minimum of seven (7) years (with Secondary Education) or four (4) years (with Bachelor’s degree) of relevant work experience in the area of Operations or related field is required.
- Experience in the usage of computers and office software packages (MS Word, Excel, etc).
- Working experience in financial management of development projects.
- Desired skills: Knowledge in the administrative and financial systems of Aqaba Special Economic Zone Authority (ASEZA).
- Desired skills: Knowledge of UN administrative and operational systems and procedures.
- Desired skills: Experience in project operations and procurement.
- Desired skills: Experience in office archiving.
- Desired skills: Experience in events planning and logistics.
Qualifications
- Secondary education is required.
- A university Degree (Bachelor’s degree) in Business or Public Administration, or related field will be given due consideration, but is not a requirement.
- CIPS level 3 is highly desirable for this position and candidates holding this level at the time of application will have a distinct advantage.
- If the desired certification is not available at the time of recruitment, it should be obtained within one year of recruitment.
- Candidates holding a CIPS certification at any level below at the time of application will have a proportionate advantage.
