Overview
This temporary position serves as a point of contact for Operations Wing issues related to the Wing Commander and Deputy Commander, focusing on administration, implementation, and execution of mission-related projects. Duties encompass administrative, protocol, and scheduling functions.
Key Responsibilities
- -Operating standard office equipment and PC-based applications on classified and unclassified systems.
- -Preparing and typing correspondence, memoranda, letters, reports, talking papers, and briefings.
- -Drafting correspondence from oral instructions or written notes.
- -Reviewing correspondence for proper format and grammar.
- -Taking, preparing, coordinating, and distributing minutes of meetings and conferences.
- -Reviewing, processing, and routing incoming and outgoing mail, faxes, and e-mails.
- -Preparing visual aids and graphics presentations.
- -Responding to telephone and visitor inquiries and managing messages.
- -Maintaining and coordinating schedules and appointments for the Wing Commander and Deputy Commander, and collecting schedules of Operations Wing Key Personnel.
- -Maintaining and monitoring command group suspenses, appointments, and schedules.
- -Monitoring action items of the Wing Commander’s meetings and liaising with relevant personnel.
- -Maintaining the Operations Wing command group filing system.
- -Collecting information, researching issues, and compiling statistical information.
- -Coordinating visit arrangements for VIPs and performing protocol duties.
- -Making travel arrangements and preparing itineraries and travel orders.
- -Monitoring the Operations Wing portion of the annual budget, assisting in budget plan development, issuing payment authorizations, and advising on budget issues.
- -Managing the Operations Wing budget, including estimates, drafting plans, monitoring expenditures, and advising the Commander.
- -Acting as Component Contracting Officer Technical Requirements (COTR) and managing related contracts.
- -Managing the NATO Medal and award/recognition program.
- -Controlling Operations Wing Esprit de Corps funds.
- -Overseeing and coordinating the operation of the Operations Wing Orderly Room.
- -Advising the Wing Commander/Deputy Commander on intra-component liaison and communication matters.
- -Providing unofficial language translation support (English/German).
Required Experience
- -At least 3 years of related, current professional experience in office management procedures and administrative principles.
- -Higher Secondary education and intermediate vocational training with 2 years experience, OR Secondary education and completed advanced vocational training with 4 years post related experience.
- -Working knowledge of Automatic Data Processing (ADP) systems.

-Higher Secondary education and intermediate vocational training, or Secondary education and completed advanced vocational training leading to a professional qualification or professional accreditation.
