Overview
The Supply Chain Assistant will manage and support the Mission’s Resources Management Unit, focusing on procurement and logistics tasks.
Key Responsibilities
- Receive and consolidate procurement requisition forms, verify information, and comply with office instructions.
- Prepare tender documents, solicit bids, and prepare bid analysis summaries.
- Confirm terms of agreement with suppliers, prepare purchase orders, and coordinate authorizations.
- Monitor open requisitions, follow up on timely delivery, and coordinate with receiving units.
- Review vendor invoices, prepare payment requests, and coordinate payments.
- Maintain physical and electronic records of procurement documentation.
- Conduct market surveys to identify potential suppliers and participate in their evaluation.
- Track contractual agreements and inform concerned parties for timely renewal.
- Monitor office supplies and services, prepare requisitions, and coordinate utility payments.
- Provide technical information on procurement instructions and procedures.
- Perform logistics tasks related to property and asset management, warehousing, insurance, maintenance, and transportation.
- Support inbound and outbound warehouse operations, including receipt, storage, and dispatch of goods.
- Participate in regular physical stock counts and report discrepancies.
- Monitor activities of contractors working on office premises.
- Support the organization of meetings, workshops, and trainings.
- Perform other duties as assigned.
Required Experience
- University degree with two years of relevant professional experience; or High school diploma with four years of relevant professional experience.
- Experience in procurement and logistics and working with vendors and service providers;
- Experience with asset management process;
- Experience working in an international organisation an advantage.
Qualifications
- University degree in Business Administration, Accounting, Logistics, Supply Chain Management, Law, Economics or a related field from an accredited academic institution; or High school diploma.
- Certification in Procurement, Logistics or Supply Chain Management is an advantage.
