Overview

The Supply Chain Assistant (Fleet Management) will be responsible and accountable for supply chain activities, guided by Supply Chain Management (SCM) objectives to deliver quality goods/services to beneficiaries at optimal price and in a timely manner.


Key Responsibilities
  • Assist in coordinating day-to-day dispatch activities.
  • Support efficient coordination with dispatch team.
  • Maintain record of extra hours served by drivers.
  • Ensure vehicles are registered and licensed.
  • Monitor procurement-related documents and archive vehicle documentation.
  • Keep record of driving licenses and necessary permissions.
  • Randomly check logbooks and track mileage viz a viz fuel consumption.
  • Generate leave plan for dispatch team.
  • Verify fleet is in working condition and generate vehicle maintenance requisitions.
  • Coordinate and act as backup for Airport team focal person.
  • Generate incident reports for vehicles involved in traffic accidents.
  • Coordinate with insurance focal person and OSS in case of accidents.
  • Generate daily reports of vehicles.
  • Provide inputs for the evaluation of drivers.
  • Perform other duties as may be assigned.
Required Experience
  • University degree with two years of relevant professional experience; or High school diploma with four years of relevant professional experience.
  • Experience in procurement and logistics and working with vendors and service providers;
  • Experience with asset management process;
  • Experience working in an international organisation an advantage.
Qualifications
  • University degree in Business Administration, Accounting, Logistics, Supply Chain Management or a related field from an accredited academic institution; or High school diploma.
  • Certification in Procurement, Logistics or Supply Chain Management is an advantage.

Languages Required
Fluency in English and French is required.
Languages Preferred
Knowledge of a second official UN language is desirable.
