Overview

This role is accountable for handling administrative, financial, and organisational support duties related to policy and partnerships, including committee support and contributing to concept and policy papers. The incumbent also serves as the secretary for the NATO Ukraine Council Working Group for Defence Technical Cooperation.


Key Responsibilities
  • Prepare documentation resulting from Committee meetings.
  • Ensure coordination and follow up on the Section’s work on policy and partnerships.
  • Coordinate the Section's input to tasks, ensuring input is timely and complete.
  • Maintain an effective follow-up and/or reminder system for pending actions.
  • Maintain and improve intranet webpages for the Section’s work.
  • Maintain well-structured electronic filing systems.
  • Ensure proper financial procedures are followed for the Section’s budget and provide budget reports.
  • Manage Partnerships programmatic funds and prepare necessary financial documents.
  • Keep records of all financial transactions.
  • Oversee and monitor the execution of projects related to the Section’s activities.
  • Provide the secretariat function for the NATO-Ukraine Council Working Group on Defence-Technical Cooperation.
  • Advise on mission preparation and provide general office support.
  • Guide staff under supervision, set objectives, and establish priorities.
  • Promote a positive, productive, and inspiring work environment.
  • Provide regular and fair feedback on performance.
Required Experience
  • Higher secondary education qualification with 6 years post-related experience, OR upper vocational training/post-secondary degree with 3 years post-related experience of administrative or project management capacity.
  • Experience in organising conferences and/or other events requiring management and coordination.
  • In-depth working knowledge of software applications, in particular collaborative tools and solutions based on Microsoft SharePoint.
Qualifications

Higher secondary education qualification OR upper vocational training/post-secondary degree in a discipline relevant for this position.

Languages Required
Possess the following minimum levels of NATO’s official languages (English/French): V (Advanced) in one; II (Elementary) in the other.
Languages Preferred
Fluency in both official languages of the Organization.
Contract Duration
Definite duration contract of three years’ duration; possibility of an indefinite duration contract thereafter.
