Overview
The Procurement and Logistics Associate supports the efficient functioning of UN Common Premises in Dhaka by assisting with procurement services, logistics, and administrative tasks related to common premises management and operations.
Key Responsibilities
- Receive and consolidate procurement requisition forms, verify information, and prepare tender documents.
- Prepare bid analysis summaries, monitor open requisitions, and follow up on deliveries.
- Organize supply and re-supply for common commodities, inspect incoming supplies.
- Review vendor invoices, prepare payment requests, and coordinate payments.
- Provide inputs on administrative and logistic systems and SOPs.
- Monitor administrative and procurement activities for compliance with IOM rules.
- Monitor office premises and common services LTAs.
- Assist in the organization and control of space distribution in common premises.
- Participate in the preparation of the annual budget and quarterly expense reports for common premises.
- Liaise with landlord and service providers to verify contractual obligations.
- Coordinate with ICT unit for communication requirements and common equipment.
- Arrange for maintenance and minor repairs of common areas.
- Receive, inspect, and verify incoming equipment and furniture.
- Support annual physical inventory verification.
- Provide operative inputs to fleet policies and procedures.
- Attend meetings with UN agencies and external service providers.
- Facilitate collaborative arrangements with UN agencies for repairs, remodeling, and renovation.
- Create and maintain a filing system for common premises related materials.
- Perform other related functions as required.
Required Experience
- Bachelor’s degree with three years of relevant professional experience; or High school Diploma with five years of relevant professional experience.
- Experience in procurement and logistics and working with vendors and service providers.
- Experience with asset management process.
- Experience in office administration and building/facility management is an advantage.
- Experience working in an international organization is an advantage.
- Experience working with UN Procurement and Logistics Rules and Procedures is an advantage.
Qualifications
- Bachelor’s degree in Business Administration, Accounting, Logistics, Supply Chain Management or a related field from an accredited academic institution.
- High school Diploma.
- Certification in Procurement, Logistics or Supply Chain Management is an advantage.
