Overview

The Associate Administrative Officer will support the Director in the delivery of executive functions, including strategic resource planning, budget preparation, and monitoring organizational performance.


Key Responsibilities
  • Assist the Administrative Officer and Risk Management Coordinator to support the Director in the delivery of his/her executive functions which include strategic resource planning; overseeing the preparation of the annual budget; overseeing the preparation of relevant communication to oversight and external bodies; monitoring and reporting on organizational performance; conducting risk management initiatives; coordinating the implementation of internal and external audit recommendations; and coordinating, overseeing, prioritizing and providing project management support;
  • Research and provide background and/or up-to-date information on management, operational, staff and/or other emerging issues in the Office of the Director;
  • Maintain files and records and contributes to the development of related procedures, processes, tracking and reporting mechanisms, including drafting initial versions of official documents;
  • Participate in projects focusing mainly on business management issues and areas related to the work of the Division; and
  • Perform other duties as required.
Required Experience

A minimum of two years (four years with a first-level university degree) of relevant work experience in public, business administration or other related area. Demonstrated experience in at least two of the following business areas related to the work of the Division: budget, finance, human resources, general services or security and safety is required. Demonstrated experience in an office of a senior executive, preferably in an international organization is required. Demonstrated experience in drafting official communication to oversight bodies and internal and external clients is required. Demonstrated experience in business management in the commercial and/or public sector is required. Experience in working with ERP systems, in particular SAP, is desirable.

Qualifications

Advanced university degree in public or business administration or related area. A first-level university degree, in combination with two additional years of qualifying experience is accepted in lieu of the advanced university degree. Certification in project management or change management is a strong asset.

Languages Required
Proficiency in one of the working languages of the Court, English or French, is required.
Languages Preferred
Working knowledge of the other working language (English or French) is an asset. Knowledge of another official language of the Court (Arabic, Chinese, Russian, Spanish) would be considered an asset.
Contract Duration
For initial appointments, the Court offers a two-year appointment with the possibility of extension (six month probationary period).
