Overview
Performs human resources administration functions including recruitment, payroll, entitlements, and maintenance of personnel files. Responds to staff queries and other related human resources functions.
Key Responsibilities
- Monitors job openings, processes applications, arranges assessments and interviews.
- Initiates and follows up on reference checks and academic verifications.
- Calculates salaries and benefits, prepares and dispatches letters of appointment.
- Reviews and approves time and attendance requests.
- Reviews and approves staff travel entitlements.
- Processes requests for salary advances, rental subsidies, and other payroll entitlements.
- Ensures banking details are updated.
- Monitors contract expiration dates and processes extensions.
- Maintains HR data in Umoja.
- Replies to staff queries on payroll and entitlements.
- Assists with onboarding and separation processes.
- Assists in reviewing and submitting documentation to the Pension fund or medical insurance company.
- Assists in the recruitment and selection of consultants and individual contractors.
- Maintains HR related automated systems and applications.
- Prepares periodic reports.
- Undertakes research on HR related issues and assists in report preparation.
- Provides general office support services.
- Processes, drafts, edits, proofreads correspondence.
- Sets up and maintains personnel files/records.
- Prepares written responses to HR queries.
- Assists with visualizations and updating information material.
Required Experience
A minimum of five (5) years of progressively responsible experience in human resources management, administrative services or related area is required. Experience in Human Resources context within the UN Common System or other comparable international organization is desirable. Experience with using Enterprise Resource planning such as Umoja for the administration of staff benefits and entitlements is desirable.
Qualifications
High school diploma or equivalent is required. University Degree in Human Resources Management, Business Administration, Public Administration, or related area is desirable. Coursework or training in human resources is desirable.
