Overview

Provide technical and administrative support for facility services within the IEA, liaising with stakeholders and providers. The role involves fast-paced work, sometimes outside regular office hours.


Key Responsibilities
  • Supervise technical contractors and report shortfalls.
  • Plan and co-ordinate visits for technical repairs, maintenance, and landlord maintenance.
  • Ensure quality control of maintenance using CMMS and produce reports.
  • Anticipate technical defects and ensure operational continuity of critical infrastructures.
  • Undertake inspections and report needed repairs.
  • Respond to helpdesk requests and keep superiors informed.
  • Make and follow up requests to landlords’ facilities teams.
  • Assist in creating graphic simulations of office layouts with AutoCAD.
  • Contribute to renovation projects and coordinate subcontractors.
  • Act as back-up to other support staff in the CBS Unit.
  • Complete and submit health and safety risk assessments with contractors.
  • Inspect works in progress and report non-compliant safety issues.
  • Brief senior officials on safety and working environment matters.
  • Participate in procurement processes, prepare work orders, contracts, and payments.
  • Keep assets inventory up to date.
  • Assist in preparing and updating material for the CBS SharePoint site.
  • Adopt a continuous learning approach to corporate systems and IT tools.
  • Carry out other tasks as required.
Required Experience
  • A minimum of 3 years’ experience in Facilities or Buildings’ related activities.
  • Supervising external contractors.
  • Some experience in procurement (public or private call for tenders, technical specifications).
Qualifications

• Post-Secondary school diploma of technical studies (BTS in France) in Facilities, Buildings, Electricity, HVAC, Electronics, Audio-visual, or a similar field.

• Fluency in one of the two official languages of the OECD (English and French) and knowledge of the other, with a commitment to reach a good working level.

Remuneration
• Monthly salary starts at 3,878.08 EUR, plus allowances based on eligibility, exempt of French income tax.
