Overview

The Supply Chain Assistant is responsible for ensuring the execution of transparent, policy and procedure compliant supply chain services and processes within the Country Office, providing administrative and logistical support and facilitating information exchange related to supply chain activities.


Key Responsibilities
  • Support in the development and implementation of supply and procurement plans.
  • Assist in compiling supply and logistics requirement information and maintain tracking records.
  • Coordinate with implementing partners, field offices, and local counterparts on delivery schedules and distribution arrangements.
  • Provide regular updates on the status and movement of supplies.
  • Assist in preparing requisitions and supporting documentation in the ERP system.
  • Coordinate inbound and outbound shipments, including freight forwarding and customs clearance.
  • Follow up on supplies delivery status and review shipping documents.
  • Prepare and submit required documents to local authorities for importation approval.
  • Liaise with local customs agents and authorities.
  • Coordinate cross-border and in-country transportation services.
  • Prepare all documentation for hand-over process.
  • Maintain accurate inventory records in UNFPA Shipment Tracker system.
  • Monitor stock levels, prepare inventory reconciliation reports, and support warehouse operations.
  • Conduct receiving and inspection of goods, including coordination of returns.
  • Maintain supply chain data and generate routine reports.
  • Ensure proper documentation for reporting and audit purposes.
  • Coordinate with the SCMU Inventory Control Unit on identified damages, losses, or discrepancies.
  • Support the implementation of UNFPA Last Mile Assurance (LMA) activities.
  • Provide logistical and administrative support to supply operations.
Required Experience

• At least 5 years of progressively responsible experience in supply chain management, logistics, warehousing required.

Qualifications

• Completed Secondary Level Education required.

Languages Required
• Fluency in English and local language Dari and/or Pashto is required.
Languages Preferred
• Working knowledge of other UN languages would be an asset.
