Overview
The Finance Officer (Cash and Banking) is responsible for operating and maintaining the accounting system and checking financial records and reports for the Country Office.
Key Responsibilities
- Verify payment voucher requests, ensuring supporting documents, codings, and approvals are appropriate and accurate.
- Process payments within deadlines.
- Assist in conducting quarterly internal audits.
- Check quarterly budgets and expenditures for proper approval and compliance.
- Check the authorization of fund disbursement for all projects.
- Verify project numbers, activity numbers, SoF codes, account codes, and area codes in requests and reports.
- Ensure all expenditures have valid and sufficient backing documents, including fund requests and reports from partners, and that financial guidelines and accounting rules are applied.
- Ensure all information in request and report forms provided by budget holders is sufficient and valid.
- Ensure any unplanned activity is approved by an authorized person.
- Document findings and present them to management.
- Enter all financial data into the accounting system (Agresso) after verifying vouchers.
- Reconcile voucher data with system entries before posting.
- Ensure all vouchers are kept in the right order with sufficient information.
- Process financial data entries within deadlines.
- Provide monthly project expenditure reports to budget holders, ensuring verification and signatures.
- Maintain and monitor individual Account Receivable and Payable, flagging overdue items.
- Prepare statements of income and expenditure, assets and liabilities, and cash flow for auditing purposes.
- Provide general ledgers to auditors.
- Prepare monthly financial reports to Global and external donors.
- Compile quarterly financial reports and forecasts from budget holders.
- Maintain proper documentation and ensure it is securely filed.
- Visit offices in the province on a regular basis.
- Provide technical support to staff and partners.
Required Experience
- Minimum 3 years working experience in the field of finance or related field.
- INGO working experience is preferred.
Qualifications
- Bachelor’s degree level in Finance, Accounting, or a related field.
- Professional qualification, e.g. B. COM, BBA, CPA, CIMA is an advantage.
