Overview
The Technical Remote Participation Moderator Roster is for individuals who will host and animate virtual meeting rooms to ensure remote participants can follow and participate in events. The role involves preparing virtual meeting rooms, managing equipment, and providing technical support.
Key Responsibilities
- Meet with the Meeting Organizer / Conference Secretary for briefing.
- Prepare virtual meeting room for the meeting.
- Setup equipment in ITU meeting room, including laptop and camera where moderator onsite presence is required.
- Host and animate the relevant virtual meeting room so that remote participants can follow and participate remotely.
- Be familiar with each session topic, correspond with Chair / Panelists to ensure they understand that event will include a component of remote participation.
- Check that the sessions are correctly displayed on the events page of the ITU and Room Management dashboards.
- Obtain all relevant material including documents, presentations and speaker bios and upload these to the e-meeting room.
- Coordinate with the meeting organizer the type of access required for each meeting. Make sure the right group of participants has access to this meeting.
- Open virtual room, start and test audio conference.
- Start the recording.
- Welcome remote participants as they arrive - help and orient them.
- Ensure that all documentation being presented is also displayed in the virtual room.
- Communicate with the Chair if a remote participation wishes to make an intervention.
- Taking care not to disturb the physical meeting, test audio quality with remote participant to ensure suitable for interpretation (if applicable).
- Communicate with remote participant. Unmute during intervention. Re-mute following intervention.
- Provide first-level troubleshooting to technical challenges and escalate them to technical teams at ITU if necessary.
- Stop recording and close the audio conference.
- Ensure the smooth running of the remote participation.
- Debrief with the e-Meeting Coordinator and provide feedback.
- After the event, return any hardware to the e-Meeting coordinator.
Required Experience
At least two (2) years of relevant experience in the field of the Terms of Reference. A University degree may replace 2 years of experience.
Qualifications
Complete secondary education with a diploma OR complete equivalent technical or commercial studies with a diploma. A University degree would be an advantage.
