Overview

The Project Assistant provides administrative and substantive support in implementing project activities, including organizing events, supporting process delivery, and maintaining databases. The role involves collaborating with stakeholders and assisting in project planning, implementation, monitoring, and reporting.


Key Responsibilities
  • Providing information for proposed and ongoing projects and other programme activities.
  • Designing and drafting supporting flow charts, schedules, graphs and tables.
  • Maintaining institutional memories or other documentation systems.
  • Assisting in the administration of project proposals, budgets and reports.
  • Assembling and editing basic data and verifying documents.
  • Checking project documents for clarity, consistency and completeness.
  • Assisting in developing and implementing project activities by liaising with counterparts.
  • Drafting terms of reference for consultants and implementing partners.
  • Monitoring the implementation of activities and submission of reports.
  • Providing functional support to project implementation.
  • Following up and keeping records on project expenditures and financial status.
  • Preparing Purchase Requests (PR) and receiving funds.
  • Assessing project implementation and related issues.
  • Assisting in follow up on the implementation progress of ongoing projects.
  • Investigating designated project activities and discussing findings.
  • Collecting, registering, reporting and maintaining information on project activities.
  • Monitoring project events, reviewing reports and maintaining liaison with partners.
  • Following up on all aspects of the project.
  • Accompanying staff on field visits, participating in discussions, and taking follow up action.
  • Preparing various written outputs, drafting information for background and briefing papers.
  • Drafting and submitting financial reports for project expenditures.
  • Providing inputs for all reporting exercises.
  • Drafting notes for the supervisor on specific issues and topics.
  • Participating in project briefings for visiting delegations.
  • Providing accurate translations and interpretation.
Required Experience
  • A minimum of 5 years of relevant experience (four years with relevant first-level university degree or 3 years with relevant second-level university degree) in environmental security, sustainable development, climate change or green economy.
  • Preferably two years of experience within an international organization.
  • Established knowledge and understanding of the developments in national and regional context and Programme matters concerning environmental security, climate change, green economy, and sustainable development.
  • Experience in project management, including project design planning, implementation, monitoring and reporting.
  • Experience working with state bodies, local and international NGOs, and national or international financial institutions will be an asset.
  • Ability to collect and comprehend versatile information in aim to perform appropriate analyses.
  • Ability to conduct independent research and collect information from a variety of sources.
  • Digital literacy, proficient use of Microsoft Office (Outlook, Word, Excel and PowerPoint) and the Internet.
  • Experience with ERP software is an asset.
  • Demonstrated gender awareness and sensitivity, and an ability to integrate a gender perspective into tasks and activities.
  • Ability and willingness to work as a member of team, with people of different cultural, and religious backgrounds, different gender, and diverse political views, while maintaining impartiality and objectivity.
Qualifications
  • Completed secondary education supplemented by specialized training or formal studies in international development, social sciences, economics, or environmental studies;
  • A university degree in international/sustainable development, economics, or environmental studies will be an asset.

Remuneration
Monthly remuneration, subject to social security deductions is 1132 Euro/month. Social benefits will include participation in the Cigna medical insurance scheme and the OSCE Provident Fund. Appointments are normally made at Step 1 of the applicable OSCE salary scale. In exceptional cases, an initial appointment at up to Step 3 may be considered.
