Overview
The Logistics Operations Officer is responsible for preparing logistics and support plans, managing logistics operations, and ensuring that logistics requirements take account of gender-specific needs.
Key Responsibilities
- Prepares logistics and support plans, deployment timelines and budget requirements for UNDSS IOPT operations.
- Develops and implements methodologies, Standard Operating Procedures and tools to enable effective execution of logistic and support plans.
- Manages logistics operations including management of assets, materiel, contracts and personnel.
- Ensures that logistics requirements take account of gender-specific needs.
- Coordinates logistics activities with the Programme Management and Admin Units on procurement, finance, human resources, policy.
- Follows up on legal and financial aspects.
- Develops and implements UNDSS IOPT logistics support policies, procedures and methodologies to the common benefit of all functional units.
- Prepares reports on personnel and materiel movements and other operational logistics issues.
- Identifies plans and manages special logistics operations.
- Prepares contingency plans and logistics preparedness reviews.
- Coordinates logistics operations with other UN agencies, other organisations and host government entities.
- Supports procurement of goods through UNDSS or UNDP and ensure that appropriate procedures are duly followed.
- Verifies receipt of goods and services, ensuring specification, condition and quantities of goods are correct and paperwork is complete and properly filed.
- Controls and manages equipment (disposal, inventory, inventory reporting, and fleet management).
- Ensures that the office premises and guest houses are well maintained and provided with common services.
- Ensures that accurate and complete accounting, reporting and internal control systems are functioning and that all relevant records are maintained.
- Collects and analyzes data to identify trends or patterns and provide insights through graphs, charts, tables and reports using data visualization methods to enable data-driven planning, decision-making, presentation and reporting.
- Performs other related duties as required.
Required Experience
- A minimum of five years of progressively responsible experience in land transport, logistics operations in military, commercial or international organizations, or related area is required.
- Experience in logistics operations in support of UN field operations or other similar international organization is required.
- Experience handling administrative-related matters, including finance, accounting, supply chain or procurement, in a emergency context within the UN common system or other similar international organization is required.
- Work experience with UNDP Quantum, Umoja, SAP or similar Enterprise Resources Planning (ERP) tools is required.
- Experience in process improvement and streamlining logistics, supply chain, administrative and financial or procurement workflows is desirable.
- At least two years of experience in data analytics or related area is desirable.
Qualifications
- Advanced university degree (Master’s degree or equivalent) in business administration, public administration, engineering, supply chain or other relevant field. A first-level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree.
- Successful completion of both degree and non-degree programs in data analytics, business analytics or data science programs is desirable.
