Overview
The Administrative/Finance Associate delivers high-quality financial and administrative services to internal and external clients, mastering UN/UNFPA rules, guidelines, and procedures to ensure seamless delivery of the ICPD agenda.
Key Responsibilities
- Monitor financial performance for core and non-core resources, providing analysis and proposing remedial actions.
- Assist in CO budget formulation, controlling allotments, monitoring expenditures, and preparing revisions.
- Maintain effective financial recording systems, process transactions accurately in the ERP system.
- Interpret financial policies and provide guidance/training to staff and partners.
- Ensure compliance of administrative activities with UNFPA rules and regulations.
- Perform the "Buyer" role in the ERP system; manage travel arrangements, hotel reservations, visas, and identity cards.
- Review and monitor charges for common services and cost recovery.
- Maintain meticulous records on office assets and prepare periodic reports.
- Contribute to the administrative team's results-oriented work plans.
- Maintain comprehensive files and records relevant to office maintenance and common premises.
- Provide guidance and supervision to administrative and clerical staff as required.
Required Experience
- Minimum of 6 years of relevant experience in administration, finance, or office management.
- Proven experience in budget monitoring and financial reporting.
- Experience with ERP systems (such as Oracle, Atlas, or Quantum) is required.
- Prior experience within the UN system or an international NGO is an advantage.
Qualifications
- Completed Bachelor degree Level of Education is required.
- A First-level University Degree (Bachelor’s) in Finance, Business Administration, Public Administration, or a related field is highly desirable.
