Overview
The Human Resources Assistant will support recruitment processes, staff development, and contract management within the UNODC Regional Office for the Middle East and North Africa.
Key Responsibilities
- Participate in recruitment processes for administrative positions, UNVs, consultants, and other affiliate personnel, including screening applications, preparing candidate profiles, short-listing, and conducting preliminary interviews.
- Support recruitment processes for locally recruited staff, including job classification, job descriptions, vacancy announcements, screening, interview panels, Competency Based Interviews, interview reports, and recruitment requests.
- Support the management of intern recruitment processes.
- Assist in organizing and coordinating competitive recruitment examinations.
- Oversee the maintenance of vacancy announcement files and track their status.
- Assist in the organization and conduct of training courses and workshops.
- Support in providing guidance on Human Resources policies and procedures.
- Contribute to the induction process for newcomers and monitor mandatory course completion rates.
- Monitor training activities and compliance with mandatory training.
- Work closely with UN teams and HRMS to identify and organize staff support activities for well-being.
- Act as UNODC ROMENA Focal Point on contract management, including timely finalization of National Staff contract extensions and follow-up on performance and contractor evaluation forms.
- Maintain HR related automated systems and applications, including databases with HR statistics, and prepare periodic reports.
- Undertake research on HR related issues and assist in preparing notes/reports.
- Provide general office support services, including processing, drafting, editing, proofreading correspondence, maintaining files, and scheduling appointments.
- Prepare written responses to HR-related queries.
- Assist with the collection and analysis of data, and preparation of data presentations and reports.
- Maintain the contract database in the Field Office Human Resources Management (FOHRM) system.
- Monitor and track transactions related to positions, recruitments, HR data, adjustments, and separations through FOHRM, and liaise with other entities.
- Monitor staff attendance in UNODC outposts in the MENA region.
- Act as time manager for national staff, maintaining attendance records and monitoring leave.
- Support the creation of HR reports and HR tracking sheets.
- Maintain up-to-date UNODC ROMENA staffing table, gender distribution, and organizational structure.
- Assist with visualizations and updating information material.
- Perform other work-related duties as required.
Required Experience
A minimum of five years of work experience in human resources, administration or related areas is required. The minimum years of relevant experience is reduced to three for candidates who possess a first-level university degree or higher. Experience in the usage of computers and standard MS Office software packages (MS Word, Excel, PowerPoint, etc.) and knowledge of spreadsheet and database packages, experience in handling of web-based management systems is required. Work experience with the United Nations system and/or other international organizations is desirable. At least one year of experience in data analytics or related areas is desirable. Experience in a large Enterprise Resource Planning System is desirable.
Qualifications
High school diploma or equivalent is required.
