Overview

Provides support in the development and administration of technical cooperation programmes and projects, as well as clerical and administrative support.


Key Responsibilities
  • Screen incoming mail and draft replies on non-technical aspects.
  • Keep track of pending matters and follow up with other offices on deadlines.
  • Respond to complex information requests and inquiries.
  • Draft routine and non-routine correspondence.
  • Proofread documents and edit texts for accuracy, grammar, punctuation and style.
  • Assist in the preparation of papers and presentations by extracting/summarizing statistics.
  • Initiate exercises related to project implementation, such as budget revisions and obligation reviews.
  • Interpret and clarify the application of financial procedures, policies, and regulations.
  • Keep track of project budget expenditures and recommend budget revisions.
  • Retrieve substantive information from SAP modules.
  • Initiate and follow up on actions related to recruitment, experts, training, payments, and travel authorizations using SAP.
  • Perform administrative tasks such as arrangements for meetings and events.
  • Prepare requests and documents, e.g. requisitions, purchase orders, travel requests.
  • Maintain an up-to-date filing system and databases.
  • Assist with onboarding of new project personnel.
Required Experience

A minimum of 5 years of relevant experience with completed secondary education, or at least 3 years of relevant experience with a first-level university degree or higher. Experience in office procedures and practices, preferably within the UN system or in a multicultural environment. Experience/proficiency in using Microsoft Office (Outlook, Word, Excel and PowerPoint), internet.

Qualifications

Completed higher secondary education (high school diploma or equivalent). Formal administrative/secretarial/clerical training or equivalent, is desirable. A first level university degree (Bachelor’s or equivalent) in relevant fields is accepted.

Fluency in written and spoken English is required.
Languages Preferred
Fluency in written and spoken Japanese is highly desirable. Fluency and/or working knowledge of another official UN language is desirable.
