Overview
The IMF's Southeast Europe Technical Assistance Center (SEETAC) in Rome, Italy is seeking an Administrative Assistant to provide secretarial and administrative support to its professional staff. The role involves assisting with technical assistance activities, coordinating events, and managing administrative matters.
Key Responsibilities
- Assists advisors in coordination and follow-up on Technical Assistance (TA) activities with authorities.
- Prepares informal translations from/to: English, Italian as needed.
- Follows up with advisors on TA activities and ensures correspondence and mission documents are sent and filed properly.
- Creates and sends virtual meeting details and ensures no technical difficulties.
- Assists RAs in flight booking and hotel reservation.
- Follows up with RAs on TA summaries for the newsletter.
- Prepares and coordinates logistics for regional workshops, webinars, and outreach events.
- Prepares and sends invitations, follows up on confirmation and attendance.
- Books flights and hotel reservations for participants.
- Creates online surveys.
- Conducts connectivity tests with panelists and interpreters.
- Creates participant lists and uploads them on the IMF training platform interface.
- Coordinates related outreach material.
- Prepares, edits, and disseminates TA-related documents.
- Assists with logistics for the annual Steering Committee meeting.
- Liaises with the Ministry of Foreign Affairs on matters related to SEETAC Director and resident advisors.
- Handles the issuance and renewal process of UN IDs for SEETAC staff.
- Orders stationary.
- Keeps track of proper filing system.
- Takes minutes during meetings.
- Processes expense reports for short-term experts.
- Performs other duties and backs up other administrative assistants.
Required Experience
Five or more years of relevant experience.
Qualifications
Completion of secondary education; training in business, finance, human resources, administration or related fields is required. A bachelor’s degree from an accredited university is preferred.
