Overview

The Administrative Officer will provide strategic executive support to the Director, DHSSS, coordinate engagements, and ensure effective management of Member State relationships, protocol matters, and cross-divisional coordination. The role also serves as the Division's focal point for security-related protocol arrangements for major Headquarters events.


Key Responsibilities
  • Coordinate human resource activities including recruitment, placement, promotion, performance appraisal, job classification reviews, and separation of staff.
  • Oversee budget and finance, including preparation and implementation of the work programme, monitoring of financial resources, and production of programme reports.
  • Develop procedures for accounting and financial management controls consistent with UN policy.
  • Provide support to cost-recovery programme budget for external conferences and special events.
  • Supervise and guide colleagues on financial administration and management information issues.
  • Oversee procurement, billing, income receipt, operational travel, and vendor contract monitoring.
  • Review departmental space requirements and identify office technology needs.
  • Collect and analyse data to identify trends and provide insights for planning and decision-making.
  • Serve as the Departmental focal point for business continuity planning and organizational resilience management.
Required Experience

A minimum of five years of progressively responsible experience in administration, finance, accounting, human resources management or related field is required. At least two years of experience in data analytics or related field is desirable. Experience providing administrative support to security organizations in headquarters locations is desirable. Experience in a deployed setting supporting security entities in the management of external conferences and events is desirable.

Qualifications

Advanced university degree (Master’s degree or equivalent) in business or public administration, finance, accounting, law or related area. A first-level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree.
