Overview
The Procurement Assistant is responsible for executing standardized procurement tasks in compliance with UNICEF rules and procedures, providing effective services to customers, and monitoring shipments to ensure timely completion and closure of orders.
Key Responsibilities
- Reviews and evaluates incoming purchase requisitions and requests.
- Reviews material specifications and requirements with customers and counterparts.
- Prepares and drafts price and cost estimates.
- Drafts and prepares international tender invitations and Purchase Orders.
- Assists with preparation of CRC submittal and Long Term Agreements.
- Supports contract administration activities.
- Monitors the status of Orders and Deliveries.
- Prepares and provides timely status/monitoring reports to customers.
- Ensures procurement transactions are processed in accordance with UNICEF policies.
- Conducts market research and analyses supplier markets.
- Updates databases and management systems.
- Prepares evaluation of suppliers.
- Contributes to the regular review of business processes and procedures.
- Assists in preparation of forecasting exercise.
- Supports procurement planning.
- Monitors inventory levels of assigned warehouse stock items.
- Initiates and manages replenishment procurement actions.
- Prepares and analyses procurement, inventory and supply chain performance reports.
- Supports emergency procurement and supply operations.
- Maintains order filing in accordance with UNICEF guidelines.
- Performs any other duties or assignments as requested by supervisors.
Required Experience
A minimum of 5 years of progressively responsible administrative or clerical work experience is required.
Qualifications
Completion of secondary education, preferably supplemented by technical or university courses related to the work of the organization.
