Overview
The Assistant role supports the WHO Country Office in Papua New Guinea by managing correspondence, preparing travel requests, initiating procurement processes, and organizing meetings.
Key Responsibilities
- Receive, screen, track and distribute incoming correspondence.
- Draft replies to general and administrative correspondence.
- Prepare travel requests and make flight and hotel reservations.
- Initiate contracts for consultants and Agreements for Performance of Work (APW).
- Monitor deadlines and ensure timely responses to correspondence and queries.
- Type, edit, correct and format technical reports and documents.
- Obtain documents and information from in-house and external sources.
- Maintain filing systems.
- Screen and receive visitors and telephone calls.
- Support the organization of team meetings, workshops, seminars, etc.
- Replace other support staff as required.
- Perform other related duties as required or instructed.
Required Experience
- At least 3 years of relevant experience in secretarial or administrative roles.
- Relevant experience in WHO or another UN agency is an asset.
- Experience in Oracle-based or other ERP systems is an asset.
Qualifications
• Completion of secondary school education or equivalent.
