Overview
Provides administrative and secretarial support to a team within the Division of Data, Strategy and Innovation, ensuring efficient operations and timely follow-up on various tasks.
Key Responsibilities
- Receive visitors and handle telephone calls.
- Monitor requests for goods and services.
- Draft and finalize correspondence and reports.
- Verify outgoing correspondence for accuracy and adherence to WHO standards.
- Analyze incoming correspondence and attach relevant background information.
- Ensure technical reports meet WHO standards.
- Follow up on target dates and deadlines.
- Initiate requests for temporary and fixed-term staff appointments.
- Initiate and monitor consultant contracts and procurement requisitions.
- Monitor project and task progress and budget ceilings.
- Monitor income and expenditures.
- Assist in preparing financial and technical progress reports.
- Maintain filing systems.
- Obtain documents and perform information searches.
- Arrange and coordinate administrative preparation for meetings.
- Prepare presentations using PowerPoint.
- Schedule meetings and prepare minutes.
- Prepare travel requests and make travel reservations.
Required Experience
- A minimum of 5 years of experience in secretarial or administrative positions.
- Relevant experience in WHO or another UN agency is an asset.
- Experience in Oracle-based or other ERP system is an asset.
Qualifications
- Essential: Completion of secondary school education or equivalent.
- Desirable: Relevant higher level diploma or degree.
