Overview

The Team Assistant performs a wide range of office support and administrative functions. The role supports the Associate Staff Development Officer in the Human Resources Section.


Key Responsibilities
  • Performs a wide range of office support and administrative functions.
  • Responds or drafts responses to routine correspondence and other communications.
  • Monitors processes and schedules related to the unit's outputs, products, tasks, etc.
  • Researches, compiles and organizes information and reference materials.
  • Generates a variety of standard statistical and other reports.
  • Proofreads documents and edits texts for accuracy, grammar, punctuation and style.
  • Screens phone calls and visitors; responds to moderately complex information requests.
  • Provides secretarial, administrative and logistics support to meetings, boards, committees, conferences, etc.
  • Assists in the maintenance of websites.
  • Assists in the preparation of presentation materials.
  • Maintains calendar/schedules.
  • Performs data entry and extraction functions.
  • Reviews, records, distributes and/or processes mail and other documents.
  • Updates and maintains large distribution lists.
  • Performs general administrative tasks.
  • Maintains files (both paper and electronic) and databases.
  • Assists in providing software and office equipment support.
  • Provides guidance to less experienced staff.
  • Assists with the collection and analysis of data.
  • Assists with visualizations and updating information material.
  • Collect and analyze data to identify trends or patterns and provide insights.
  • Performs other duties as assigned.
Required Experience

At least two (2) years of experience in general office support or related area is required. The minimum years of relevant experience is reduced to zero (0) for candidates who possess a first-level university degree or higher. Experience using ERP systems, such as PeopleSoft, SAP or other, to manage HR processes is desirable. Experience in maintaining and supporting the creation of reports, information management, or related area is desirable. One (1) year or more of experience working in an international organization is desirable. One (1) year or more of experience in data analytics or related area is desirable.

Qualifications

High school diploma or equivalent is required.
