Overview
Provide assistance in the management of human resources functions in IOM Viet Nam, supporting recruitment, pre-employment activities, HR system management, and general HR inquiries.
Key Responsibilities
- Support recruitment processes by coordinating publication of Vacancy Notices, sorting applications, arranging interviews, preparing documentation, and contacting previous employers.
- Carry out pre-employment activities including preparation of Entry on Duty documentation, coordination of medical exams, and orientation sessions.
- Perform roles in the organizational HR system, maintaining data accuracy, monitoring contractual situations, and generating reports.
- Act as Timekeeper, maintaining and reconciling leave quotas, generating reports, and responding to leave-related queries.
- Support separation, classification, reclassification, and promotion processes by collecting documentation and drafting forms.
- Update and maintain electronic and physical archiving systems, including personnel and recruitment files.
- Draft certificates of employment, notices, letters, reports, and update the organizational chart.
- Support the organization of meetings, training, and HR events through logistical activities.
- Respond to general inquiries regarding HR policies, instructions, and procedures.
- Perform other related duties as assigned.
Required Experience
- High School diploma with four years of relevant experience; or, Bachelor’s degree with two years of relevant professional experience.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, E-mail, Outlook).
- Previous experience in ERP system is a distinct advantage.
- Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
