Overview
Provides administrative support and office management functions. Assists senior officers with human resources matters, organizes meetings, and manages information flow.
Key Responsibilities
- Performs full range of office management and administrative support functions.
- Provides direct assistance to senior officers.
- Maintains liaison with other units regarding administrative matters.
- Monitors processes and schedules related to unit outputs.
- Provides administrative and coordination support in human resources matters.
- Ensures smooth and efficient information flow within the unit.
- Prepares and processes confidential information.
- Assists in the development of office administrative systems and procedures.
- Researches, compiles and summarizes background materials.
- Supports the organization of high-level intergovernmental meetings.
- Serves as focal point for official mailboxes and website pages.
- Provides assistance in the coordination of meetings and events.
- Attends meetings, prepares minutes, and monitors follow-up activities.
- Responds to or drafts responses to correspondence.
- Manages, updates and develops internal databases.
- Updates website and generates reports.
- Carries out quality control for outgoing documents.
- Proofreads and edits texts.
- Responds to complex information requests and inquiries.
- Assists in the preparation of presentation materials.
- Maintains calendar/schedules and communicates relevant information.
- Performs administrative duties such as leave recording and meeting organization.
- Prepares and processes administrative requests/documents.
- Maintains and updates files and databases.
- Assists with data collection, analysis, and preparation of presentations and reports.
- Performs other duties as assigned.
Required Experience
- A minimum of five (5) years of experience in general office support or related area is required.
- Experience in servicing high-level intergovernmental meetings is required.
- Experience in human resources, including supporting recruitment processes, is required.
- Experience managing website content and online databases, such as e-Delegate and its modules, or similar platforms is required.
- Experience in meetings programming and servicing, using documents and conference planning tools, such as gMeets and gDocs is required.
Qualifications
• High school diploma or equivalent is required.
