Overview
The Supply Chain Assistant will be responsible for carrying out procurement and logistics functions in accordance with IOM’s regulations, rules and procedures.
Key Responsibilities
- Receive and check procurement and supply requisitions.
- Solicit for offers and quotations and prepare Bids analysis.
- Assist in preparing tender documents.
- Maintain supporting documentation and requisite authorizations.
- Follow up with suppliers for timely delivery of goods/services.
- Assist in conducting first review of vendor invoices and prepare Payment Requests.
- Assist in drafting and tracking contracts.
- Update and enter data of purchases into PRISM.
- Record purchased assets into PRISM and tag them.
- Assist in performing physical inventory verification of IOM assets.
- Follow up office needs of stock, expendables, and services.
- Provide full logistical support for delivery and construction activities.
- Follow up with telephone service providers on pending invoices and reconciliation.
- Keep proper filling system for all procurement documents.
- Monitor IOM contracted vendors for cleaning, Electricity, and garbage collections/Utilities.
- Perform other duties as may be assigned.
Required Experience
- Completed High School Degree/Certificate with four years of relevant professional experience.
- Bachelor’s degree or Equivalent, or Higher with two years of relevant professional experience.
- Hands on experience in International Procurement.
- Experience in a busy logistics unit.
- Previous experience with UN and International Agencies or NGO’s is an advantage.
Qualifications
- Completed High School Degree/Certificate in Business Management, Procurement and Logistics, Economics or a related field from an accredited academic institution.
- Bachelor’s degree or Equivalent, or Higher in Business Management, Procurement and Logistics, Economics or a related field.
