Overview

Provides administrative and human resources support to the UNDP Country Office, ensuring compliance with UN/UNDP rules and regulations and efficient service delivery.


Key Responsibilities
  • Ensures compliance with HR and Administrative processes and records.
  • Provides inputs to business processes mapping and SOPs.
  • Implements recruitment processes for various contract types.
  • Processes personnel contracts and maintains HR data.
  • Administers HR processes in ERP systems.
  • Supports onboarding of personnel.
  • Maintains HR records and documentation.
  • Supports the Performance Management and Development process.
  • Tracks and submits cost-recovery for HR services.
  • Performs functions of the Secretary of the Learning Committee.
  • Updates HR information on the CO Intranet.
  • Provides backstopping functions to HR team.
  • Performs functions of a Travel Arranger.
  • Assists with travel arrangements and processes travel claims.
  • Processes monthly based CO payments.
  • Supports preparation of Equipment Loan Agreements and Transfer Acts.
  • Processes small-scale procurement.
  • Manages office supplies as CO Custodian for stationery.
  • Supports organization of events.
  • Prepares supporting financial documentation.
  • Contributes to management of CO vehicle operations.
  • Maintains administrative records and documentation.
  • Keeps records/calculations/invoicing of cost-recovery items for administrative services.
  • Provides support to preparation of customs clearance documents.
  • Updates administrative section in CO Intranet.
  • Provides backstopping functions to Administrative team.
  • Supports knowledge building and knowledge sharing.
Required Experience
  • Minimum five (5) years (with secondary education) or two (2) years (with Bachelor’s degree) of responsible administrative/operations and human resources experience at the national and/or international level is required.
  • Relevant administrative and human resources experience at the national or international level or UN/UNDP.
  • Solid experience in the usage of computers and office software packages (MS Word, Excel, AI tools, etc.).
  • Demonstrated experience in implementing various aspects of HR services (e.g. recruitment, onboarding, separation and other services).
  • Demonstrated experience in implementing various aspects of administrative services (e.g. small-scale procurement, events, travel and other administrative services).
  • Experience using ERP systems.
  • Experience in working with various clients/stakeholders.
Qualifications
  • Secondary education is required.
  • University degree (bachelor’s degree) in Human Resources, Organizational Management, Economics, Business or Public Administration, relevant social sciences or other related areas will be given due consideration but is not a requirement.
  • CIPS level 2 is highly desirable.
