Overview
The Shelter and Settlement Assistant will coordinate with community representatives to identify housing rehabilitation needs, collect data, and register beneficiaries. The role involves planning site visits, communicating with beneficiaries, and managing project documentation.
Key Responsibilities
- Prepare letters of inquiry/response to State Authorities, Local Government bodies/representatives and other NGOs.
- Coordinate with community representatives to identify the needs for rehabilitation of damaged housing and collect data on other needs. Organize focus-groups in communities in locations agreed with community representatives to meet with beneficiaries to assess their needs and register them in KOBO.
- Communicate with beneficiaries - make preliminary arrangements for any meetings with them for evaluation, execution of works, and signing of any documents provided by the program.
- Provide beneficiaries with all necessary information on the activities of the DRC, conduct explanatory work on the procedure and scope of work, receive feedback and report on the status of the project to the Officer and the head of the department, and respond to complaints and feedback through the complaint and feedback mechanism.
- Prepare and sign agreements with beneficiaries.
- Visit households with Shelter and Settlement Officer for the final check of the work performance and scope. Participate in preparation and signing of Acceptance Acts with the beneficiaries. Monitor the work performance, collect feedback from the beneficiaries.
- Work with documents in the office (assign unique numbers to contracts, transliterate contracts, scan, form a package of documents, sort copies, add to the archive and upload to SharePoint, sort electronic versions in the cloud).
- Finalize and archive documents upon completion of programs for sending to the Country Office.
- Conduct post-monitoring of the beneficiary's compliance with the results of the assistance provided via phone calls.
- Any other duties may be assigned by the Shelter Team Lead related to the achievements of project targets, in coordination with the Shelter and Settlement Manager, and higher managers.
Required Experience
- At least 1 year of experience in humanitarian organizations or in the social sector (will be an advantage).
- Experience in administrative and support tasks.
- Minimum 1 years of relevant experience, preferably with experience in the field of humanitarian response for an international NGO, UN agency, relevant ministry, or local authority.
Qualifications
University degrees in Civil Engineering, architecture or related topics are preferred.
