Overview
The Human Resources Assistant provides administrative and operational support to the human resources functions of the IOM Cairo Mission, under the supervision of the head of Resources Management and the National Human Resources Officer.
Key Responsibilities
- Assist in coordinating recruitment processes, including drafting Vacancy Notices, screening applications, and conducting reference checks.
- Carry out pre-employment activities such as preparing Entry on Duty documentation and coordinating onboarding.
- Perform roles in the organizational HR system, maintaining data accuracy and verifying eligibility for benefits.
- Act as Timekeeper, monitoring and updating leave quotas and generating reports.
- Prepare documentation for various HR actions, including separations, classifications, and promotions.
- Prepare personnel reports, draft correspondence, and maintain personnel files and archiving systems.
- Monitor compliance with performance evaluation processes and provide guidance.
- Organize HR events, including staff development and training activities.
- Provide information to staff on entitlements and responsibilities.
- Identify areas for improvement and assist in analyzing and resolving sensitive cases.
- Participate in inter-agency Human Resources working groups.
- Provide guidance and training to new/junior staff.
- Assist in preparing visas and related documentation for international staff and event participants.
- Perform other related duties as assigned.
Required Experience
- High school diploma with five years of relevant experience; or, Bachelor’s degree with three years of relevant professional experience.
- Experience in providing administrative and operational support in one or more areas of human resources, such as recruitment, onboarding, personnel administration, or benefits and entitlements.
- Experience working with enterprise resource planning (ERP) or Human Resources Management Systems (HRMS) for processing personnel actions and maintaining HR records is an advantage.
- Experience in maintaining confidential personnel records and handling sensitive information with discretion.
- Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
Qualifications
High school diploma or Bachelor’s degree in human resources, Business Administration, Psychology or related field from an accredited academic institution.
