Overview
Provides secretarial and clerical support to staff members within a Technical Unit of WHO Country Office Indonesia, supporting office and programme operations.
Key Responsibilities
- Screen and distribute incoming correspondence, draft replies to administrative matters, type technical reports and documents, and assist in preparing presentations.
- Obtain documents and information from various sources and conduct information searches.
- Maintain filing systems for easy accessibility and retrieval of records.
- Prepare contracts for consultants, APWs, TSAs, and GES requests, and monitor payments.
- Initiate requisitions for goods procurement and record receipt of deliverables.
- Support the organization of meetings, workshops, and seminars.
- Prepare travel requests, make flight and hotel reservations, and prepare travel files.
- Receive visitors and handle telephone calls, answering queries or redirecting them.
- Perform other related duties as required or instructed.
Required Experience
At least three (3) years of experience for G4 and five (5) years for G5 in secretarial, clerical, or administrative work. Experience in WHO or in another UN/International organization would be an advantage.
Qualifications
Essential: Completion of secondary school education. Desirable: Training in secretarial practices and any other relevant training on administration, finance, and procurement is highly desirable. University degree is an asset.
