Overview
Provides administrative support within the Medical Services Section, reporting to the Chief Medical Officer. Monitors processes and schedules related to mission health operations and coordinates communication and logistics.
Key Responsibilities
- Performs office management and administrative support functions.
- Provides direct assistance to the Chief Medical Officer.
- Maintains liaison with senior officials on programmes and administrative matters.
- Monitors processes and schedules related to mission outputs and tasks.
- Supports technical coordination with external health authorities.
- Coordinates communication and logistics for health services delivery.
- Ensures smooth information flow and prepares confidential information.
- Assists in the development of administrative systems and procedures.
- Researches, compiles, and summarizes background materials for reports and briefs.
- Provides assistance in the coordination of service-wide activities, special projects, and events.
- Orients new staff to administrative procedures and practices.
- Attends meetings, prepares minutes, and monitors follow-up activities.
- Responds to correspondence and drafts responses.
- Produces complex documents and reports.
- Manages, updates, and develops internal databases.
- Generates statistical and other reports.
- Performs quality control for outgoing documents.
- Responds to complex information requests and inquiries.
- Maintains calendar/schedules and communicates relevant information.
- Performs administrative duties such as leave recording, meeting organization, reservations, supply orders, travel requests, expense claims, and visa applications.
- Performs other duties as assigned.
Required Experience
At least five (5) years of experience in general office support or related area is required. The minimum years of relevant experience is reduced to three (3) for candidates who possess a first level university degree or higher. One year of experience supporting a senior official is desirable. One year of experience in the United Nations Common System or similar international organization is desirable.
Qualifications
High school diploma or equivalent is required.
